Position Summary This role will provide support in planning, management and execution of the convention strategy across Neurology and Oncology therapeutic areas for both pipeline and inline products. ? Responsibilities include all aspects associated with organizing, planning and post event wrap-up. ? Primary Duties and Responsibilities: Housing and Registration Lead ?????????????? Manage housing block for each congress in partnership with Congress Planners/agencies?????????????? Provide registration, attendance and all reporting as required to core teams/Congress Planners?????????????? Manage all housing applications for all congresses with recommendations for each block based on previous year activity and +/- expectations?????????????? Oversee housing attrition deadlines?????????????? Monitor deposit schedule for all housing and meeting space payments?????????????? Invoice accuracy?????????????? Manage and achieve project profitability?????????????? Comply with company & client invoicing processes?????????????? Reconciliation of housing deposits and pre-pays post event ? Meetings Support (Non-super congress status) ?????????????? Liaise with core team/Congress Planners concerning hotel meeting requests by brand or other team requirements?????????????? Prepare core team meeting agendas, write and distribute core team meeting minutes and update core team PPT slides on the One Drive?????????????? Liaise with requestor for AV, F&B requirements as well as room set up within budget parameters?????????????? Liaise with Congress Organizers for submission of these space requests for review and approval?????????????? Negotiate & secure meeting space with congress hotel?????????????? Provide support to Agency as required for Super Congress hotel meeting space?????????????? Liaise with core team/Congress Planners' requirements for exhibit hall or convention hall meeting space?????????????? Liaise with Congress Organizers for applications of exhibit hall and/or convention hall meeting space? ? General ?????????????? Attend stakeholder planning meetings - face to face, WebEx and/or conference calls, where required?????????????? Identify & manage preparation of supportive meeting planning materials for planning meetings?????????????? Attendance & contribution at department meetings and status calls?????????????? Effective interaction with other departments - e.g. IT, Finance, HR, Travel?????????????? Coordinate pre-con compliance training WebEx in collaboration with Regulatory, reporting on attendance?????????????? Assist in preparing documents for CRC/PMRC requirements; manage changes throughout process?????????????? Ensure all business-critical deadlines are met for each congress?????????????? Identify and manage literature through order process?????????????? Work with leads for identifying staffing?????????????? Maintain and update congress calendars, congress schedules?????????????? Schedule meetings & manage work streams for sub team objectives?????????????? Provide on-site program assistance (where needed); oversee specific areas/details of program (i.e. attend pre-con, advance all functions, verify room set-ups, review banquet checks/master bill)?????????????? Familiar with budgeting, and forecasting?????????????? Special projects (play book assembly, event tracker, etc.) as required ? Position Requirements ?????????????? Strong skills in Microsoft Suite, with focus on PowerPoint, Word, Excel?????????????? Strong Cvent skills, preferably Cvent Certified?????????????? Diplomatic business acumen?????????????? Strong oral and written communications skills?????????????? Ability to lead; motivate/influence others?????????????? Attention to detail?????????????? Flexible / adaptable?????????????? Ability to perform under tight timelines, fast-paced, changing environments?????????????? Solid understanding of pharma housing and registration requirements & processes?????????????? Negotiation skills with vendors such as AV, meeting space, F&B contracts?????????????? Understanding of industry compliance parameters, including Pharma Guidelines?????????????? Comply with all company and Client policies and procedures, including those relating to Health & Safety?????????????? Maintain/develop good long-term relationships with hotels, venues and suppliers?????????????? Develop and apply a good understanding of clients' businesses and products?????????????? Understand and apply the company's Vision and Values at all times?????????????? Must be able to work in Woodcliff Lake office location, re-location is not available?????????????? Sense of humor ? Experience: 5+ years' experience (mid-level) in pharma sectorGlobal experienceGeneral Life Sciences meetings knowledge, with expertise on congresses & ancillary activitiesMid-level Cvent knowledge/certification preferredCMP / CMM / HMCC preferred25% travel ? domestic & international ?
