Job Description:

We are currently seeking a Research Administrator to provide high-quality administrative support to our Research department based in Bethesda and The Hague. This department focuses on Outcomes research, to examine outcomes of IB programmes for students, teachers and schools, as well as Curriculum research, to help continuously evaluate and improve our educational programmes.

As the Research Administrator, you would manage department finance and procurement processes, overseeing team knowledge management platforms and resources, including SharePoint, the vendor database, department policy and procedures handbook, and project trackers and calendars. You would also support the development and review of research communications materials, such as blogs and social media content, that would have global visibility.

Job Duties:

  • Manages departmental financial systems and requirements, such as invoices, payments and accruals, staying up-to-date with any new financial processes and ensuring the team is informed

  • Monitors department project budget and spending

  • Supports IB procurement procedures and oversees administrative aspects of contracts for externally commissioned research projects

  • Ensures accurate tracking and record keeping for all current and past commissioned research projects

  • Drafts and sends key communications on behalf of the team, such as requests for proposals and MailBuild campaigns

  • Responds effectively and in a timely manner to inquiries and requests from Research colleagues, other IB staff, and external stakeholders

  • Ensures the Research department has access to accurate and well-organized information by overseeing key knowledge management platforms and resources on behalf of the department

  • Develops and maintains the Research department policies and procedures handbook, accurately documenting all processes undertaken by the team

  • Oversees team SharePoint sites, archiving RFPs, legal contracts and project documents, and ensuring information is up-to-date

  • Creates and maintains the research vendor database a curated list of past and present research partners and potential partners

  • Manages various department resources such as calendars and shared files

  • Contributes to the successful communication of research findings to external and internal audiences by providing writing and editing support to the Research Communications Manager

  • Drafts blog posts, social media content and other research communications

  • Reviews, provides feedback on, and proofs research communications materials

  • Assists in other research communications and publications processes as needed

  • Assists in travel and events planning, particularly the planning of the annual Research retreat with domestic travel twice a year

  • Job Requirements:

  • Bachelor s degree in one of the preferred fields: education, psychology, sociology, international studies, or related fields

  • Minimum 2 years' experience in an administrative position

  • Previous experience in either an academic or applied research setting strongly preferred

  • High degree of proficiency with Microsoft applications (Word, Outlook, Excel, PowerPoint, SharePoint) is required

  • Experience with data analysis and/or data analysis software a plus

  • Knowledge of research terminology and understanding of research processes

  • Strong time management and problem-solving skills

  • Ability to work independently as well as collaboratively in a team environment

  • Strong written and oral communications skills

  • Language proficiency in French and/or Spanish a plus
